6 hrs/ day
back into the deal pipeline

One brokerage moved six hours of daily admin straight into selling. Faster response, better follow-up, end-to-end automation. Your team focuses on winning business, not remembering the next step.

Most brokerages are running a patchwork.

A CRM that nearly does the job. A listings tool. An email marketing platform, sometimes two or three. An e-signature tool. An accounts package. Held together by people copying data between systems and remembering the next step.

The patchwork grows

Every quarter, another vendor pitches the next product. Each new tool creates two new integration headaches.

Prices keep rising

Vendors raise prices because they know switching is painful. Manual workarounds grow with the stack.

So nothing changes

"Digital transformation" sounds like a six-figure project that takes a year. So the patchwork stays.

We do it differently. We don't push more software at you. We look at what you've got, keep what works, remove what's overlapping or underperforming, and connect everything into one platform you actually control.

Built for high-response, high-productivity brokerage teams

When too much of the brokerage process depends on manual admin, disconnected systems, and people remembering the next step, growth becomes harder than it should be. This solution automates more of the journey, so your team can respond faster, follow up better, and handle more opportunities without the same overhead.

What we actually do

Three things. Not a year-long transformation. Not another product sold into the mess. A practical reshape of the systems you already run, on a monthly fee.

01

Keep what works

If a tool is pulling its weight, it stays. We're not here to replace your systems on principle. We're here to make them work together.

02

Remove the overlap

Duplicates, overpriced tools, vendors holding you over a barrel. We had one client running three email marketing tools at once. Saving money on software is a happy by-product of getting your stack joined up, often thousands in week one.

03

Connect the rest

Lead sources, CRM, website, NDAs, contracts, customer portal, finance. All talking to each other through one connected platform, built on enterprise integration foundations.

Modular by design. Onboard a new tool when you need it. Replace one when a vendor stops earning their fee. No lock-in, including with us.

And when your current platform isn't up to scratch, we have ours.

We don't replace tools that work. But when an existing platform is genuinely holding you back, you don't have to start a procurement project. We have two proven, future-proof platforms, built for business brokers, that connect to everything else on day one.

The follow-up engine

Coreflow AI

Most enquiries die in the follow-up, not the first response. Coreflow AI is a marketing automation platform that keeps your brokerage top of mind across every channel a buyer or vendor actually uses, automatically, consistently, on the right rhythm. Nobody who enquires gets forgotten. Nobody slips through because someone got busy.

Coreflow Operations

The broker operations platform that runs the buyer-vendor relationship and every instruction from one place. Listings flowing into your website, NDAs out the door, contracts moving, finance connected. Everything a broker does between first instruction and completion, in one system instead of five.

The brokerage workflow, ideal vs reality.

Every brokerage runs roughly the same workflow. Enquiry, vetting, NDA, particulars, instruction, listing, marketing, completion. The ideal is smooth and connected. The reality is friction at every join.

The ideal
What actually happens

Enquiry arrives

Captured cleanly into one workflow from every source. BFS, Rightbiz, Daltons, website, referrals. All in one queue.

Enquiries scattered everywhere

Different formats, different inboxes. Someone manually re-types each one into the CRM. Some get missed.

Buyer is properly vetted

Identity, financial position, funding, experience, timeline. Captured before any business detail is shared.

Vetting done ad hoc, or skipped

Sometimes a phone call. Sometimes nothing. Senior brokers waste hours on tire-kickers because qualification never happened.

NDA agreed, vendor approves

Agreed in the portal as an online audited acceptance. Vendor approves who progresses. The record is filed automatically. Live status visible.

NDAs emailed, chased, lost

PDFs sent by email. Reminders sent by hand. Vendors rarely consulted. Signed copies sit in someone's downloads folder.

Particulars released cleanly

Only after vetting and vendor approval. Buyer accesses via the portal. Every access logged.

Particulars shared too soon

Released as soon as the NDA is signed, regardless of whether the buyer can transact. No audit of who saw what when.

Vendor signs the instruction

Sales agreement generated with Companies House detail pre-filled. Sent for digital signature. Status flows back to the CRM.

Agreement crafted by hand, then chased

Created manually in Word. Posted or emailed. Signing chased over days or weeks. CRM updated when someone remembers.

Listing goes live, marketing runs

Buyer comms across email, SMS, and WhatsApp. Branded and tracked. Vendor updates flow automatically.

Marketing across disconnected tools

Mailchimp here. WhatsApp on a personal phone there. Vendor calls to ask "what's happening" and nobody can answer cleanly.

Deal completes, invoice paid

Invoice generated on agreement signing. Payment tracked. Opportunity converted to listing when paid.

Closure is half a day of admin

Invoice raised manually in Sage. Payment chased. CRM updated by hand. Listing status changed somewhere.

The gap between the ideal and the reality is where Coreflow lives.

Take a closer look

Three closer looks at how Coreflow actually fits together.

Every user works through the platform. The platform talks to every integration. No more copying data between systems or wondering which version is correct.

Coreflow Connect for business brokers — system overview Users on the left connect through a single bus into the Coreflow platform, which in turn fans out via a second bus to all integrations. Users Coreflow platform Integrations Sales team Leads & deals Vendors NDAs & portal Buyers Search & enquiry Admin Ops & finance Sales management Pipeline & deals Website Listings & lead capture Customer portal Buyer & vendor access Business intelligence Reports & insights Lead sources BFS, Rightbiz +more Messaging Email, SMS, WhatsApp Accounts Sage, Xero, QB E-signing NDAs & contracts

Less fragmentation. More control. Better follow-through.

A connected system helps business brokers work more efficiently by reducing repetitive admin and improving the consistency of the process from first enquiry onwards.

Day-to-day operations

  • Respond faster to new enquiries
  • Reduce repetitive admin
  • Follow up more consistently
  • Keep agreements and documents moving

Long-term growth

  • Give customers clearer access where needed
  • Connect sales activity with financial processes
  • Handle more deals more efficiently
  • Run a leaner, more scalable software stack

Buyer vetting and NDAs, finally under control.

Selling a business needs more than an NDA signature. It needs vetted buyers, vendor approval, and a clean audit trail. We built a portal so your team stops chasing, your buyers move faster, and your vendors stay in control.

The old way

Manual vetting. PDF NDAs. Spreadsheet tracking.

  • Vetting done by phone or email, or skipped entirely
  • NDAs emailed as PDFs, signed and scanned back
  • Senior staff chasing buyers for the third time
  • Vendors not always told who has been approved
  • No audit trail when you need one
The Coreflow way

One portal. Vetting, NDA, vendor approval, live status.

  • Structured vetting before any sales particular is shared
  • NDAs agreed in the portal as an online audited acceptance
  • Vendors approve or decline who gets the details
  • Automated chasing so your team doesn't have to
  • Full audit trail of who saw what, when, and why

A vital step in selling and buying a business, finally as smooth as the rest of the deal should be.

Two ways in

Keep your CRM, or move to the platform.

Coreflow isn't another CRM. It's a business platform built for brokerages. That means we can sit alongside your CRM and make it work harder, or replace the patchwork entirely. Two ways in. Same outcome.

If your CRM works for your brokerage, we connect to it, automate around it, and feed every part of the workflow into the records you already trust. No painful migration, no team retraining, no rip and replace.

If it doesn't, we move you onto the Coreflow business platform. Built for brokerages from the ground up. Connected end to end. The engineering already done, the integrations already there.

The recommendation is made together, with your business in mind, not our pricing.

Connect to your existing CRM

HubSpot, Pipedrive, Salesforce, Zoho, anything else. Vetting, NDAs, agreements, invoicing all feed into your existing deal records.

or

Move to the Coreflow platform

Not another CRM. A business platform built for brokerages. Connected from day one. Often a cleaner answer than the patchwork most brokerages have inherited.

Proof in practice

Two stories. What we find in the first week, before we've connected anything. And what happens after the connection is built.

Quick win
£5,000+
saved in software costs in week one

In a recent client engagement, we identified more than £5,000 a year of overlapping and overpriced software in the first week. Before we'd connected a single system. Three different email marketing tools running in parallel. A signing tool that had quietly tripled its price. A CRM module nobody had used in two years.

The saving wasn't the goal. The connection was. But getting your stack joined up tends to pay for itself, usually within weeks. The pattern repeats with most clients we audit.

Long-term transformation

Modular by design. No lock-in. Not even with us.

Most software vendors win once and hold you forever. They raise prices because they know switching is painful. Coreflow is built on the opposite principle. The value is in the connected layer underneath, not in any single tool, so you stay in control of every component sitting on top.

Swap anything, anytime

A vendor puts their prices up? Replace them. A tool stops earning its place? Move on. We've done it in a day, including a recent Adobe Sign replacement that saved a client both cost and friction.

Onboard new tools in stages

You don't have to rip out everything to start. Key areas can be improved in practical stages, so each phase pays for itself before the next one starts.

Underneath sits our enterprise-grade integration platform, the same architecture larger organisations spend hundreds of thousands on, delivered to SMBs as a monthly service. It's what makes adding, swapping, and removing tools fast, without the usual integration projects.

Questions brokers ask

The objections worth raising before a conversation. If yours isn't here, it's a good first thing to put to us.

Do we have to leave our CRM?

No. Coreflow is a business platform, not a CRM, so it can sit alongside the CRM you already run. If your CRM earns its place, we connect to it and feed every part of the workflow into the records you already trust. If it has stopped earning its place, we can move you onto the platform. The recommendation is made for your brokerage, not for our pricing.

What happens to our data if we ever leave?

It is yours, and you can take it with you in a standard format, without a fight or a fee. The value sits in the connected layer underneath, not in holding your data hostage. No lock-in, including with us.

How is this not just another tool on the pile?

Because it does the opposite of adding to the pile. We keep what works, remove what overlaps, and connect the rest through one integration backbone. The aim is fewer moving parts that actually talk to each other, not another island of data.

How long until it is actually working?

Not a year-long project. We work in practical stages, starting with the change that makes the biggest difference, so each phase pays for itself before the next begins. Your team keeps working throughout, with less friction every week.

Is the NDA portal sound without a signature?

It does not rely on a signature. The buyer accepts your terms online, and every acceptance is logged and time-stamped, with a full record of who agreed to what and when. An audited, time-stamped acceptance trail is a stronger confidentiality and compliance record than a signed PDF sitting in an inbox.

Where does our data live?

All operational data, including your vetting and NDA records, is held in the UK on Microsoft Azure in London, with backup in Cardiff. Prospect and marketing data is held internationally, with full GDPR and IDTA safeguards in place. We set the detail out on our trust page, and we are happy to put the specifics in writing for your compliance file.

We are a smaller brokerage. Is this overkill?

No. The smaller the team, the more the reclaimed hours matter, and the same connected workflow scales down cleanly. We start where the pain is, in practical stages, so it fits how you actually work rather than forcing a big-firm setup on you.
